Are you someone who thrives on making things happen? We’re looking for an Associate Project Manager to join our RWS Creative Services Operations team, to manage internal content creation projects and facilitate ideas coming to life.

You’ll play a vital role in content production, orchestrating the creation of marketing materials that showcase the best of RWS. You’ll be the steady hand behind the scenes, ensuring our Creative Teams have everything they need to shine.

We do this by leveraging our expertise in marketing best practice, our deep understanding of our customers and target audiences, and our commitment to innovation and growth. Key Responsibilities

  • Triaging and prioritizing incoming production requests based on business requirements and team availability
  • Collaborating with internal stakeholders to set up, schedule, own and manage projects under moderate supervision of senior team members
  • Scheduling briefing calls to obtain missing details and/or kick off production work
  • Assigning work to our copywriters, graphic designers or the video team, agencies, or freelancers
  • Ensuring projects are delivered on time and on budget
  • Liaising with members of the Creative Team to ensure cost and time estimates are accurate and within Creative Team availability and SLAs
  • Monitoring overall Creative Team bandwidth and route tasks/projects evenly, escalate to management when additional resources are needed, and co-ordinate projects with agencies/freelance resources when necessary
  • Serving as a primary point of contact for stakeholders on assigned projects, providing regular progress updates
  • Chairing the daily resourcing meeting with the support of project management team, production team leads and Ops Manager
  • Supporting junior team members
  • Supporting education of stakeholders in collaboration tools and processes
  • Performing administrative duties, which include project closures, folder structure and dashboard maintenance
  • Supporting administration of an external freelance pool with onboarding, creating POs, tracking hours and invoicing

Skills & Experience

  • University degree in Project Management, Marketing, Business, English, Foreign Language, or another related field
  • 3-5 years of hands-on experience managing projects
  • Project management certification (Waterfall, Prince2, etc.) of advantage
  • Knowledge of marketing and the translation industry preferred but not essential
  • Customer service experience preferred
  • English (professional, fluent written and verbal proficiency)
  • Excellent time management, communication skills and attention to detail
  • Positive, flexible approach and attitude
  • Working knowledge of project management tools (i.e. Adobe Workfront, Jira, Trello, Asana etc.) of advantage
  • Good working knowledge of common software applications (e.g. Word, Excel, PowerPoint, Adobe Acrobat, Office 365, Sharepoint, Dropbox)
