Position Overview

The Documents Coordinator is responsible for digitally assembling, printing, scanning, and notarizing client documentation, as well as daily document shipping. This position ensures that all documents adhere to company policies and procedures, are kept up to date, and are easily accessible to the necessary parties. The role requires attention to detail, strong organizational skills, and the ability to manage multiple priorities simultaneously.

Key Responsibilities

  • Maintain and organize electronic and physical document filing systems
  • Ensure all documents are properly categorized, indexed, and stored according to company standards and legal requirements
  • Assist in the creation and formatting of official translation documents such as reports and correspondence
  • Enter data into systems and databases accurately and efficiently
  • Update, maintain, and validate existing data
  • Exchange and manage documents with vendors and vendors’ system
  • Conduct periodic audits of the document control system to ensure compliance with company policies
  • Ensure confidentiality and security of all sensitive documents
  • Notarize client certificates
  • Printing documents, CD and USB burning, carrying out client mailing and shipping

Requirements

Qualifications:

  • 2+ years of experience in document control, records management, or a similar role
  • Strong organizational skills with keen attention to detail
  • Proficiency in document management software and systems (e.g., SharePoint, DocuSign, Adobe Acrobat, etc.)
  • Familiarity with document control standards and practices
  • Ability to handle multiple tasks and meet deadlines in a fast-paced environment
  • Proficient with Microsoft Outlook and Word
  • High school diploma
  • Have a Kansas notary or willing to obtain
  • Detail oriented with strong time management skills
  • Ability to work independently with little supervision
  • Positive attitude, flexible, and willing to assist others as needed
  • Must be able to lift 15 pounds

Preferred Skills

  • Familiar with Adobe Acrobat
  • Familiarity with online shipping software
  • Experience in an office environment of at least 1 year
  • Experience working in a regulatory or compliance-driven environment
  • Knowledge of legal or financial document management is a plus
