Job Description
Position: Language Services Coordinator
Reports to: Senior Manager, Global Learning
Type: Part-time, fixed-term contract (6 month term, ~20 hours/week)
Position Summary
We are seeking a passionate and detail-oriented Language Services Coordinator to join our team and help enhance the accessibility of our international development resources and programs. This part-time, fixed-term role requires an average of 20 hours per week, with at least 10 hours per week in our Calgary office. The primary languages we work with are English, Spanish, and French, but we are expanding our services to include additional languages including Hindi, Arabic and Portuguese.

Key ResponsibilitiesQualifications
- Language Services Project Management:
- Identify and prioritize language services projects by interfacing with CAWST staff across all departments.
- Utilize user data (e.g., web traffic, and support requests) to identify, propose, and manage high-impact translation and localization projects.
- Audit WASH resources to identify translation gaps and inconsistencies.
- Procure original editable files for translation projects and manage the export and re-import of translation files into various authoring tools.
- Track and manage the workflow of documents requiring translation, ensuring timely communication with project contacts.
- Package and upload translated documents to designated locations, such as the WASH resources website, online courses, or other file locations.
- Tracking budget, grants, and external contract invoices, interfacing with CAWST’s finance team as necessary.
- May perform translations as needed.
- Contractor Management:
- Recruit, train, and manage language service contractors, including translators, interpreters, graphic designers, copy editors, and reviewers.
- Liaise between interpreters and project teams to ensure proper preparation and technological requirements are met.
- Process invoices from translators in collaboration with the finance team.
- Quality Control:
- Manage translation memory.
- Conduct quality assurance reviews of translated materials.
- Update and maintain English, Spanish and French style guides and glossaries.
- Innovation and Subject Matter Expertise:
- Proactively optimize language services by identifying efficiencies, researching sector developments, and trialing new technologies, software, and processes.
- Explore opportunities to leverage language service volunteers for translation and review.
- Stay updated on industry trends and best practices, particularly in machine translation and AI.
- Provide ongoing support to maintain glossaries and other training data to help improve machine translation quality across a variety of languages.
- Communications Support:
- Provide copy editing for priority communication, documents, and resources based on the CAWST style guide.
- Support communication and marketing initiatives with language-focused strategy, planning, and writing as time permits.
Desired Qualities And Qualifications
- Proficiency in English, with additional proficiency in Spanish and/or French.
- Experience as a translator (translating to English, French or Spanish).
- Excellent organizational skills and experience in coordinating translations and managing multiple projects and priorities.
- Experience with Computer-Assisted Translation (CAT) tools, such as Phrase.
- Experience with QA tools, such as Xbench.
- A self-starter with strong communication skills and the ability to proactively and independently manage projects.
- Interest in exploring and implementing machine translation and AI technologies.
- Curiosity and adaptability to change, with a willingness to test and use new technologies.
