Job Overview:

We are seeking a Document Management & Project Coordinator to support the IFERC (International Fusion Energy Research Centre) Project at the National Institutes for Quantum Science and Technology (QST), Japan. The role involves document management, English Japanese translation and interpretation, project coordination with European partners, and administrative support for international research activities.

Key Responsibilities:

  • Manage and maintain project documents using the Document Management System (DMS) and related platforms.
  • Organize, classify, and monitor project documents, deliverables, and meeting materials to ensure compliance with project guidelines and deadlines.
  • Coordinate document management activities between Japanese and European project teams.
  • Translate project documents between English and Japanese, and provide interpretation support during meetings, calls, and online conferences.
  • Prepare meeting agendas, minutes, reports, and other project documentation.
  • Update and maintain project websites using WordPress.
  • Manage user accounts, access permissions, and security settings for web-based project systems.
  • Support virtual meetings and provide general administrative assistance to the project team.

Required Skills:

  • Strong English communication skills (TOEIC 750+, IELTS 6.0+, TOEFL 550+, or equivalent certification required.
  • Experience with Microsoft Office (Word, Excel, Outlook), including English-language versions.
  • Experience in document management, project coordination, or administrative support.
  • Excellent organizational, communication, and coordination skills.
  • Ability to work effectively in an international and multicultural environment.

Preferred Skills:

  • Japanese language proficiency (business level preferred).
  • Experience with Document Management Systems (DMS) or Content Management Systems (CMS).
  • Experience using WordPress or similar website management tools.
  • Previous experience supporting international research, engineering, or government projects.
  • Experience with translation, interpretation, and meeting coordination.
