Must-Have HARD Skills:

— demonstrated ability to manage concurrent workstreams in a fast paced environment.

2 Familiarity with Multilingual AI annotation and audit workflow or internationalization/localization experience.

3 Fast learner with technical adaptability

— ability to quickly understand new platforms, AI models/products, and workflows; troubleshooting issues independently. Must be able to ramp rapidly on unfamiliar tools and systems with minimal hand-holding.

4 Excellent written and verbal communication

— clear, concise documentation skills; ability to create process docs, meeting notes, and reports for async/cross-timezone audiences

5 Attention to detail

6 External vendor/partner coordination experience

— proven track record managing deliverables, timelines, and clear communications with multiple third-party partners across time zones.

Job Description:

The project coordinator is responsible for managing administrative aspects of client and company projects, tracking and monitoring of project progress with regards to deadlines and client needs, assisting in scheduling and logistical coordination, and communicating frequently with team members and management.

Key Responsibilities :

  • Project Operations & Coordination
  • Manage day-to-day project communications across active annotation tasks
  • Track deliverables, throughput, and audit coverage targets per task and per language
  • Monitor project quality patterns: failed submissions, low-rating trends, language-specific blockers
  • Prep agendas, take notes, and follow up on action items for weekly vendor syncs
  • Task & Queue Management
  • Maintain the project queue tracker with current status, priority, and ownership
  • Manage task pipeline (assignment, prioritization, status tracking)
  • Flag bottlenecks, tooling issues, and blocked tasks to relevant stakeholders
  • Triage incoming task requests; validate scope, volume, and feasibility before commitment
  • Quality Reporting & Data Support
  • Pull and organize data for weekly/monthly quality reporting
  • Prepare project quality insights for XFN stakeholders
  • Support ad hoc data pulls and analysis as needed

Required Qualifications:

  • Extensive experience in program coordination, project management, or operations (localization or tech preferred)
  • Strong organizational skills; ability to manage 5–8 concurrent workstreams without dropping threads
  • Excellent written communication — clear, concise, and able to document processes for async audiences
  • Experience coordinating with external vendors or partners across time zones -Comfort with ambiguity and ability to ramp quickly on new tools and workflows

Preferred Qualifications:

  • Familiarity with localization workflows, annotation/labeling pipelines, or QA programs
  • Experience with multilingual content or language services
  • Exposure to ASR, audio/video annotation, or AI/ML evaluation workflows
